EYFS Wrap Around Care Booking

Dear Parents and Carers,

EYFS Wrap-Around Care Bookings for October – December 2025

We are writing to confirm the arrangements for Wrap-Around Care bookings from 1st October 2025.

All payments and club bookings for wrap-around care clubs need to be made via MCAS and payment is required at the time of booking.

Our wrap-around care provision continues to be increasingly popular and we do understand how important this provision is for our families.

Sessions for October will be added to the system tomorrow, Wednesday 17th September, and will be available to book at approximately 12noon.  We apologise that we cannot give an exact time, as this will be dependant on office demands on the day.

Initially, only families who have regularly used our wrap-around care provisions and EYFS families who have requested these clubs, will have access to make bookings for October.  We will open bookings to all parents from Wednesday 24th September, when parents will be able to self-enrol and make bookings via MCAS, subject to availability.

Please visit your child’s MCAS account and on the side menu click on ‘Wraparound care’

Double click on the club name.

Once October bookings are available, these will show as available sessions. To book sessions, simply click on the date(s) required, this will add the booking to your basket & payment must be made at the time of booking. Bookings will hold in your basket for a short time and then will cancel so please ensure payment is made promptly.

The system will allow parents to book and/or cancel places at any time (subject to availability and our 7 days cancellation policy), helping to ensure unwanted spaces are released for others to book.

Voucher Payments

We continue to encourage parents to draw down childcare vouchers as early as possible to allow funds to clear our Finance system and be added to MCAS. As new parents, please ensure you email us the name of the childcare provider and the reference number for your child; this allows us to match up payments with your child.

It can take up to 10 days for funds to be available in MCAS, so you may wish to consider drawing larger amounts to cover the longer booking period.  If you wish voucher credits to be split between Breakfast Club and After-School Club, please email office@uva.clf.uk to confirm how you would like us to split the funds.

After-School Club Collection Times

We offer four fixed collection times: 4pm, 5pm, 5,30pm and 6pm, and children cannot be collected at any other time.  Please remember After-School closes at 5pm on a Friday.  When your child starts after school club, please let the staff know which time you will be collecting your child. Our staff become familiar with most children’s collection times and will bring them to the front playground at these times.  If you arrive at a different collection time, please speak to the member of staff and expect a short wait whilst we get children ready to leave.

Communication

Please ensure your contact details are up to date by checking and updating your Data Collection Form (or Admission Form for those who haven’t completed this already) on MCAS.

November & December Bookings

To help parents secure places further in advance, we propose to add all the sessions for Term 2 (November & December) at once, on Wednesday 15th October.
